Documents Required After Getting ITA

Hello All,

In this post we will see what documents are needed after you receive ITA and how should be get them.

1. Employment Records - Employment records are needed for all the jobs which you have done till you receive ITA.  You will need below documents
  • Reference letter from company (please visit my other post for details)
  • Appointment letter
  • last 3 months salary slips
  • all increment letters
  • Resignation letters
  • relieving letters
so in short, you will have to showcase that you have worked in the organization, what were your duties, you worked full time and you were earning. 
You will get links to upload your records on CIC link depending on number of jobs. 

Reference letter - The reference letter is an official document printed on company letterhead and must include your name, the company's contact information (address, telephone number and e-mail address), the signature of your immediate supervisor or personnel officer at the company and a business card of the person signing the letter. The letter should indicate all positions held while employed at the company and must include the following details: job title, duties/responsibilities, job status (if current job), the dates you worked for the company, the number of work hours per week and your annual salary plus benefits. 


2. Police Certificate - If you have stayed in any country for more than 6 months, you will have to show the police certificate PCC from that country. This is required for last 10 years. I wrote other post on how to get PCC from India for the stay in the USA.

To get PCC from India is very simple. Go to passportseva.org, register yourself and apply for PCC. You will get a stamp on the last page of your passport as a Indian PCC.

3. Marriage Licences - You will have to scan the original marriage certificate and ensure that you translate the certificate if it is in other language. Get is notarize and translated by lawyer. Upload both, original copy and translated copy.

4. Proof of means of financial support -  This is very important aspect , as your application may get rejected if you do not show enough funds. 
Please ensure that you show liquid money, property documents do not hold any value in this case. You may own flat worth 1 crore still you are not eligible unless you show liquid cash.

What I mean by that is - CIC would link to know if you have funds with you and can survive in Canada for 6 months initially without having a job. 
Applicable proofs - 
  • Fixed deposit receipt from nationalized bank (SBI,ICICI, HDFC etc). Do not show funds receipt of local bank like Jan kalyan etc. this is not a valid proof. 
  • You can also upload bank statements where the current balance shows your funds. 
  • Ideally I would suggest, to get a letter from bank stating the funds you have in bank as of date inclusive of FDs and saving account. (this is what I did in my case)
  • You also need to ensure the letters you take from bank are 
    • With bank letter head
    • Bank stamp 
    • Bank official signature 
    • Bank address / phone no etc
  • Salary Slips / Pay stubs for 6 months 
  • Employment letters / increment letters 
  • Banks statements for 6 months 
  • Tax Reports - In India - Form 16 - IT report 
ITA - Instructions are as below - 

If you are visiting Canada, you must prove that you can support yourself and the family members accompanying you while you are in Canada by providing as many of the following documents: 
your bank statements for the past four months 
a bank draft in convertible currency 
pay stubs 
an employment letter 
proof of assets or business 
proof of payment of tuition and accommodation fees 
tax reports, declarations or statements 
proof of a student/education loan from a financial institution 
a letter from the person or institution providing you with money 
proof of funding paid from within Canada, if you have a scholarship or are in a Canadian-funded educational program 
proof of a Canadian bank account in your name if money has been transferred to Canada 
If you are applying for permanent residence in Canada, you must provide an official letter issued by your financial institution indicating your financial profile. 
Your financial profile includes a listing of all your bank (chequing and savings) and investment accounts. The official letter must be printed on the letterhead of the financial institution and must include your name, the contact information of the financial institution (address, telephone number and e-mail address), the account numbers, dates of when each account was opened and the balance of each account over the previous 6 months.  
You must scan all proof of funds documents and save them as one file. 


5. Educational Qualification - You will need to showcase all your degree certificates/ mark sheets. 
If you have done any certification you can upload it, some of the documents are as follows 
  • WES  (I will write diff post for WES)
  • All degree years mark sheets 
  • 12th Mark sheet
  • 10th mark sheet
  • IELTS mark sheet 
  • Any technical certification if you have done
  • PMP/ITIL/SAP/CISA certifications etc 

Examples of postsecondary education are: 
trade/apprenticeship 
training completed in a specific trade, such as carpentry or auto mechanics 
non-university certificate/diploma 
training in a profession that requires formal education but not at the university level (for example, dental technician or engineering technician) 
a Bachelor's degree 
an academic degree awarded by a college or university to those who completed an undergraduate curriculum; also called a baccalaureate. (e.g., a Bachelor of Arts, Science or Education) 
a Master's degree 
an academic degree awarded by a graduate school of a college or university (You must have completed a Bachelor's degree before a Master's degree can be earned.) 
A Ph.D. (A Ph.D. is the highest university degree usually based on at least three years of graduate studies and a thesis. Normally, you must have completed a Master's degree before a PhD can be earned.) 


6. Medical Exam reports - In this section you will only have a receipt from the hospital that your test reports have been sent to Canada CIC. Upload the page as it has tracking number on it. You will have to book appointment in mumbai - Lilavati hospital. When you book appointment mention that you need it for PR. Once all tests are done they will give you the tracking number. You will not get to know the medical exam result as it is confidential.

Please also note that you have to do Medical exam only after getting ITA and not before that. If you do exam before you will have to repeat the exam any way. 

7. Photos -  You will have to upload the photos with exact size and dimensions. Please note that if your photo is not right they will ask you again to upload same and hence delay in application. 

Photo Instructions : 

The final frame size of the photo must be at least 35 mm x 45 mm (1 3/8" x 1 ¾"). 
The photographs must show the full front view of the head, with the face in the middle of the photograph, and include the top of the shoulders. 
The size of the head, from chin to crown, must be between 31 mm (1 ¼") and 36 mm (1 7/16"). 
Digital dimensions are often expressed in pixels or DPI (dots per inch).  The physical dimensions in pixels must be at least 420 x 540. 
Quality/Resolution: 
If an existing photo is being scanned, the minimum resolution must be 600 pixels per inch. 

File Format: 
The file may be submitted in JPEG or JPEG2000 format. 
File Size: 
The final size of the image should be ideally 240 kB (kilobytes), but not less than 60 kB. 
Colour: 

The image must be in color (24 bits per pixel) in sRGB colour space which is the common output for most digital cameras. 

Indian photography studio usually gives you Visa photos and not PR photos. PR photo criteria is different please take the printout with you and give it to them. Link provided below -

8. Name change documents - If you are married and changed your name. you will have to provide proofs.

9. Passports - Upload all pages including cover page of the passport 
10. Birth certificate - Please upload original and also if not in English then translated copy of your birth certificate
